Job Description

We are looking for a highly organized and detail-oriented Part-Time Administrative Assistant to join our dynamic team. This role is ideal for someone with experience in QuickBooks invoicing, administrative support, and school transportation contracts. The position is flexible, with the option to work fully or partially remotely. As an Administrative Assistant, you will play a vital role in supporting our operations and ensuring efficient financial management.

Key Responsibilities:

QuickBooks Invoicing:

Create and send invoices to clients using QuickBooks, ensuring accuracy and timeliness.
Track payments and follow up on overdue invoices.
Maintain precise records of invoicing and payments.
School District and Transportation Support:

Initiate communication with school districts regarding potential contracts and bids.
Manage schedules for students and drivers to ensure proper shift coverage.
General Administrative Support:

Respond to emails and phone calls in a timely and professional manner.
Schedule and coordinate meetings and appointments for the team.
Prepare and maintain spreadsheets, reports, and other documents.
Assist in organizing and managing company files and records.
Support the team with various administrative tasks as needed.
General Office Duties:

Answer phone calls and direct them to the appropriate team members.
Organize meetings and take accurate meeting minutes.
Draft and distribute emails, memos, and letters as needed.
Contribute to the preparation of company reports and maintain an organized filing system.
Assist in developing, updating, and maintaining office procedures to streamline operations.
Qualifications:

High school diploma/GED required (Associates degree or administrative training is preferred).
Previous experience as an Administrative Assistant or in a similar administrative role.
Proficient with office equipment (e.g., printers, fax machines) and software tools (Microsoft Word, Outlook, PowerPoint).
Strong organizational and time management skills with the ability to prioritize tasks effectively.
Excellent communication skills and a professional demeanor.
